Map Academy is a new public high school in Plymouth, Massachusetts founded on the belief that every student can succeed. They need and deserve more. Map Academy is designed for them. Our exceptional team of educators is currently looking for a Administrative Support Coordinator to join our growing and dynamic team.

Responsibilities:
Coordinate Student and Personnel Administrative Tasks

  • Coordinate Student Onboarding and Offboarding
    • Pupil Personnel Intake
    • Oversee intake of all relevant information from prospective and new students
    • Online registration/paperwork
  • Coordinate Discharge
    • Process student commencement
    • Process transfers, withdrawals, and other discharges
  • Records Request Coordinator
    • Transcript management
    • Other relevant student records
  • Orientation Coordinator
    • Schedule orientation
    • Oversee coordination of open houses
    • Organize materials and supplies
    • Coordinate agenda for special guests and visitors
  • Coordinate Personnel Intake
    • Oversee logistics of hiring process
    • Oversee onboarding of new staff

Manage Basic School Operations

  • Coordinate and maintain school calendar
  • Coordinate attendance updates and attendance outreach
  • Coordinate student transportation as needed with bus companies
  • Coordinate mail collection and distribution
  • File and track employee expenses and receipts
  • Coordinate and schedule staff meetings
  • Liaise with maintenance and teachers for school facility issues
  • Coordinate receipt and submission of necessary information for all items on Department of Elementary and Secondary Education Superintendent’s Checklist
  • Coordinate ordering and distribution of supplies and materials
  • Maintain computer and manual filing systems which allow for efficient collection, retention, and retrieval of information
  • Maintain forms which include purchase orders, online supply orders, conference/travel claims, mileage claims, timesheets, evaluation forms, enrollment cards, rosters and other related forms; creates and maintains student files

Data Entry and Reporting Systems

  • Manage Data and Data Reporting Systems
    • Oversee all data deadlines
      • Data entry
      • Student profile management
      • Staff profile management
      • All state related data requests
    • Managing intake of data
      • Ensure accuracy of all student records
      • Ensure all student records are complete and up to date
  • Update policy binder and board meetings
    • Maintain minutes
    • Maintain agendas and calendar
    • Support logistics for meetings

Testing Coordinator

  • Coordinate the required testing timelines
  • Coordinate rosters for exams
  • Order exam materials
  • Support coordination of the logistics of exam days
  • Coordinate materials logistics for exams
  • Generate and oversee handing out of exam invites

Manage Basic Communications

  • Prepare, create, and composes letters, reports, bulletins, and other documents for the school or instructional programs
  • Answer routine correspondence for the administrators
  • Prepare documents from rough draft, notes, recordings, or oral instructions

Skill Set:
Standard clerical procedures and office operations, English grammar, punctuation, and spelling; business formatting of documents; basic research techniques; standard software applications; budget and accounting principles; standard types of office filing systems; proper telephone etiquette.

Education:
Preference is given to applicants with a minimum of an Associate’s Degree. Sufficient formal and/or informal training to provide the ability to read, write and communicate at a level consistent with the requirements of the position.

Training and Experience:
Any combination of training and/or experience which demonstrates ability to perform the duties as described; a typical qualifying background would include work experience in an office environment involving public contact; experience working at a school site is strongly preferred.

Hours
Monday-Friday, 8:00am to 5:00pm

Salary
Salary begins at $50,000. Salary adjusted commensurate with education and experience. Competitive medical and dental benefits package included.
